Do not treat “Can I upload this?” as only a technical question. For a confidential contract, client file or internal document, the real question is whether your organisation, client agreement and chosen AI service permit that processing.
The short answer
There is no universal yes or no. Different AI products and account types have different data controls, and your employer or professional obligations may impose stricter rules than the service itself.
Before using any cloud AI with confidential material, identify the exact service and plan, understand its current data-handling terms, and check whether you have authority to disclose the information to that provider.
Five things to check before uploading
- Whose data is it? Your own notes are different from client, employee or third-party information.
- What does your policy allow? Check employer, client, regulatory and contractual restrictions.
- Which AI product are you using? Consumer, business and enterprise offerings may have different controls.
- Is the whole document necessary? Data minimisation may allow you to remove names or provide only the relevant excerpt.
- Can the task be done locally? If so, you may be able to avoid an external AI disclosure entirely.
Documents that deserve extra caution
- Client contracts and privileged communications
- Documents covered by NDAs
- Employee and applicant records
- Customer personal data
- Financial statements and tax material
- Unreleased strategy, pricing or intellectual property
- Medical or other highly sensitive personal information
The no-upload alternative

No. ChatGPT is a hosted service. A local AI model performs inference on your own hardware.
Can anonymising a document make cloud AI use safe?
It can reduce exposure when anonymisation is effective, but it is not a blanket guarantee. Context can sometimes identify people or organisations even after obvious names are removed.
What if my employer has an approved AI service?
Follow your organisation's approved process and policies. An approved business service may be appropriate where an unapproved consumer tool is not.
